International Mixed Mail

International Mixed Mail can be used to send any personalised mail (e.g. letters, statements, invoices, contracts), non-personalised mail (direct mail, magazines, books, catalogues) or goods of commercial value.

Delivery speeds

With Premium Unsorted all mail is sent Priority however, there are two options available for Unsorted and Zone Sort: Priority or Economy.

Please note: All figures are in working days (except where weeks are stated), and exclude the day of posting.

Premium Unsorted

With this service you give your mail to us unsorted with a simple consignment note telling us how many bags you are posting.

You have the choice of applying the necessary mail indicias e.g: Airmail indicator, printed postage impression and return address or we can do this for you.

We also offer Department Billing so each mailing can be accounted to individual functions within your organisation.

Once processed your mailing data is entered onto our Online Business Account (OBA) system which you can view, online, to see the cost of each day’s posting.

It’s as simple as that.

Unsorted and Zone Sort

A few things specific to Unsorted and Zone Sort:

  • All mail items must have a Royal Mail UK Printed Postage Impression.
  • All items sent Priority must have an Airmail indicator applied.
  • Economy mail must not have an Airmail indicator.
  • Zone Sort mail must be split between EU and Rest of World. For a list of countries in the EU, refer to the Mixed Mail user guide within the document library.

What can I send?

These services can be used to send any item provided it falls within the guidelines outlined within the Mixed Mail user guide, within the document library.

There are certain prohibited items which you must not send. What is prohibited or restricted varies from country to country, and can sometimes include apparently ordinary things. If you are unsure about anything, please contact your local Royal Mail Sales Centre on 08457 950 950 or visit our Countries A to Z page.

There are specific size and weight limits for items. For details refer to the Mixed Mail user guide, within the document library.

Addressing your mail

Please ensure you address your mail correctly. You can find examples of how you should address your mail, depending on where you’re sending it to within the Mixed Mail user guide, within the document library.

One of the most important criteria being that the country name appears on its own on the last line of the address.

Do I need a customs form?

If you are sending an item to a destination outside the European Union, it will need a customs label if it is either:

  • An item of commercial value.
  • The item contains goods or gifts.
  • For printed paper it is advisable to add customs declaration.

Prepaid Postage Impression (PPI) & Airmail Indicators

Unless you use the Premium Unsorted service, whereby Royal Mail can apply the necessary mail indicias for a small additional charge, every item must have a Royal Mail approved PPI in the top right hand corner.

The design you choose must be one of those available on our PPI page. It must include the words: POSTAGE PAID, your licence number and GB.

If you are sending an item through the Priority service it must have either:

  • An Airmail indicator.
  • An Airmail sticker.

You may also create your own indicator, provided the words Airmail, Par Avion or Prioritaire are used. This should be positioned as close as possible to the top left hand corner on the front of the item. Failure to apply a Priority Airmail indicator will result in them being delayed.

Economy mail must not have an Airmail indicator.

Return Address

We strongly recommend that you include a return address in order to reduce wastage on future postings as any undeliverable items will be returned to you free of charge.

The return address must be a UK address and ideally situated in the top left hand corner of the mail piece.

If posting more than 1,500 items to one country in a posting or 5,000 items to a country over a two week period then these items must have a UK return address.

Bagging your mail, paperwork & labelling

There are specific bags we request you to use as well as weight restrictions.You are also required to attach the appropriate label to each bag.

Regarding paperwork, each service requires you to complete and supply us with certain documentation at the time we collect your mail.

Despatch

Make sure all bags are sealed around the neck and that they are securely tied with the appropriate bag label attached and that the bag label is fully completed. Remember to put your (i.e. poster’s) company name and address onto the back of each bag label, and fully complete each label with the date and bag number.

Collection

If you have a local daily collection of mail then International Mixed Mail can be collected at the same time.

Remedial work

Mail which is prepared or presented incorrectly risks being delayed, since we have to remove it from our system and carry out the necessary remedial work. Equally we may incur charges from overseas postal authorities if mail is in breach of international postal regulations. The effect of any remedial work is to slow down the mail and increase costs within the supply chain.
